Humanforce roster to your phone calendar

Humanforce has a calendar sync in its Work app and an .ics export in its web version. Here is what its help centre says, and how to bring the shifts into Shift It.

Vendor menus change and employers set them up differently. Steps checked against Sync shifts to your mobile calendar in the Humanforce Work app on .

What it is

About Humanforce.

  • Humanforce's help centre covers two ways staff see rosters: the Humanforce Work app on a phone, and Humanforce WFM on the web. They have different calendar options.
  • Calendar sync only includes published, confirmed shifts. Unpublished or unconfirmed shifts, shift offers, bids, leave and availability are not included.

Step 1

Get your roster out of Humanforce.

These steps come from the vendor's own help pages, listed under Sources.

Humanforce Work app (stays up to date)

Stays up to date
  1. Open the Humanforce Work app.

  2. Go to Home > Profile > Calendar settings.

  3. Tap "Connect to calendar".

  4. On iOS, the Apple Calendar app opens and asks if you want to subscribe.

  5. On Android, copy the URL and open the link in the Google Calendar web app to add the subscription.

  6. For another calendar app: in Calendar settings, under "Copy and paste your calendar link", tap Copy, then paste the webcal URL into that app's subscribe or add calendar screen.

  • The sync is one-way. You cannot edit shifts from your calendar.
  • Humanforce says shifts appear from 10 days in the past to 30 days in the future.
  • Humanforce says updates may be delayed because Apple and Google control how often they refresh, usually every 5 to 15 minutes.
  • "Regenerate link" creates a new URL and cuts off anyone with the old one.
  • In Google Calendar, if shift times are wrong, Humanforce says to check the time zone in Google Calendar's settings on the web.

Humanforce WFM on the web (one-off .ics file)

One-off file
  1. Go to Employee > Rosters.

  2. In Calendar view or List view, click "Export" in the top-right corner.

  3. Humanforce generates a calendar file (ICS format) of your shifts for the month on screen.

  4. When prompted, choose Open or Download. Open with Outlook, or save the file and import it into your calendar app yourself.

  • Humanforce describes the file as a point-in-time extract that does not update by itself.
  • The export covers the shifts visible in your current Calendar or List view, so switch to the month you want first.
  • For live updates, Humanforce points staff to its mobile app.

Step 2

Bring it into Shift It.

Shift It reads the calendars on your phone, so a roster feed in your calendar app is a roster Shift It can import.

  1. Get the roster into your phone's calendar

Use the steps above. Shift It reads the calendars on your phone, so your shifts need to show up in your calendar app first.

  2. Start an import and choose your calendar

In Shift It, pick the option for shifts that are already in your calendar ("My shifts are in my calendar"). Allow calendar access when it asks.

  3. Pick the calendar and the dates

Choose the calendar your roster is in and set the date range. It starts at today and runs four weeks ahead, so widen it if your roster covers more. You can also filter by a word in the event title.

  4. Review, then accept

Shift It lists what it found before it saves anything. Remove anything that is not a shift. If the shifts overlap ones already in Shift It, the review screen shows what changed, what is new and what is gone.

Good to know before you import

  • Because the Work app feed only runs 30 days ahead, import again every few weeks to pick up later shifts.
  • The WFM export is one month at a time. Open the .ics in your calendar app, then import that month into Shift It.
  • Shift It reads your calendar once, when you import. It is not a live sync, so import again when your roster changes.
  • All-day events and events longer than 24 hours are skipped.
  • Each shift takes its start time, end time and title from the calendar event. Location is not carried over.
  • Shift It cannot open .ics files directly. Add the file to your calendar app first, then import from the calendar.

If your employer sends you a spreadsheet instead, Shift It can import that too. See importing from a file.

Common problems

When Humanforce and your calendar do not agree.

Not all my shifts are in the calendar

Only published, confirmed shifts sync. Humanforce says unpublished shifts, unconfirmed shifts, offers, bids, leave and availability do not.

Shift times are an hour or more out in Google Calendar

Humanforce's help centre says to check the time zone setting in Google Calendar on the web (Settings > Time zone).

I cannot find Calendar settings

Humanforce says the path is Home > Profile > Calendar settings in the Work app. Your employer controls what is switched on, so if it is missing, ask your administrator.

Shifts further ahead are missing

The Work app feed shows 10 days back and 30 days ahead. Later shifts appear as time passes, and you can run Shift It's calendar import again.
