Employment Hero roster to your calendar

Employment Hero has a calendar sync for rostered shifts. Here is what its help centre says, and how to bring the shifts into Shift It.

Vendor menus change and employers set them up differently. Steps checked against Calendar sync - How to sync your calendars with rosters on .

What it is

About Employment Hero.

  • Employment Hero's help centre has a calendar sync article that covers rostered shifts, for employees, managers and admins.
  • It supports Google Calendar, Microsoft Outlook / Microsoft 365 and Apple Calendar. The feature only shows if your organisation has rostering turned on in Menu Customisation.

Step 1

Get your roster out of Employment Hero.

These steps come from the vendor's own help pages, listed under Sources.

Sync shifts to calendar (stays up to date)

Stays up to date
  1. Log in and click your Account Profile in the top right corner.

  2. Select "Account Settings" from the dropdown menu.

  3. Scroll down to the "Sync shifts to calendar" section.

  4. Choose your calendar provider (Apple Calendar, Google Calendar or Outlook) and click "Connect".

  5. Your calendar app opens and prompts you with a subscription URL. Click Subscribe.

  6. Name the calendar (for example "My Work Shifts"), set the refresh rate, then click OK or Save.

  • Employment Hero recommends setting the calendar to refresh every 5 minutes.
  • Published shifts appear with role, location and times, and later changes or cancellations update on the connected calendar based on your refresh setting.
  • To cut off a link, use the Actions button next to your calendar in the same section and choose "Rotate Link", or "Disconnect" to remove it.

Step 2

Bring it into Shift It.

Shift It reads the calendars on your phone, so a roster feed in your calendar app is a roster Shift It can import.

  1. Get the roster into your phone's calendar

Use the steps above. Shift It reads the calendars on your phone, so your shifts need to show up in your calendar app first.

  2. Start an import and choose your calendar

In Shift It, pick the option for shifts that are already in your calendar ("My shifts are in my calendar"). Allow calendar access when it asks.

  3. Pick the calendar and the dates

Choose the calendar your roster is in and set the date range. It starts at today and runs four weeks ahead, so widen it if your roster covers more. You can also filter by a word in the event title.

  4. Review, then accept

Shift It lists what it found before it saves anything. Remove anything that is not a shift. If the shifts overlap ones already in Shift It, the review screen shows what changed, what is new and what is gone.

Good to know before you import

  • Employment Hero puts role and location in the calendar event. Shift It takes the start, end and title only, so check the review screen for what came across.
  • Only published shifts reach your calendar, so import after your roster is published.
  • Shift It reads your calendar once, when you import. It is not a live sync, so import again when your roster changes.
  • All-day events and events longer than 24 hours are skipped.
  • Each shift takes its start time, end time and title from the calendar event. Location is not carried over.
  • Shift It cannot open .ics files directly. Add the file to your calendar app first, then import from the calendar.

If your employer sends you a spreadsheet instead, Shift It can import that too. See importing from a file.

Common problems

When Employment Hero and your calendar do not agree.

I cannot see "Sync shifts to calendar"

Employment Hero says the feature is only visible if your organisation has the rostering feature turned on in Menu Customisation. It also lists the plans it is available on, so ask your administrator.

A shift change has not shown up

The calendar app controls how often it refreshes. Employment Hero suggests a 5 minute refresh rate when you subscribe.

I want to stop a calendar link working

Treat the link like a password, because it is how your calendar app reads your roster. Employment Hero's "Rotate Link" invalidates the old connection, and "Disconnect" removes it.

Shift It finds no shifts

Check the date range covers the shifts, the right calendar is ticked, and the events are not all-day events. Shift It skips all-day events.
