Importing your roster
What file formats does Shift It support?
XLSX for local import. If your roster is a PDF, image, or unusual format, AI Import (coming in v3.1) will handle it — it sends the file to an edge function, extracts the shifts, and deletes the data immediately. You get one free AI Import during onboarding.
How does Shift It find my shifts in a spreadsheet?
A purpose-built parsing engine scans the sheet structure, locates your name, and extracts shift times, dates, and labels automatically. It handles merged cells, multi-week layouts, colour-coded rosters, and the dozen formatting quirks hospitals and hospitality chains like to use. You set your name once in the import screen – if your roster uses a nickname or abbreviation, enter that instead.
My employer uses HosPortal. How do I export?
In HosPortal, go to Call → … → Export. Set Date range to the weeks you need, User name to Full name, User time to Always display, and Format to Excel. That gives you an .xlsx Shift It reads directly. Full instructions on the Import Guide.
Can I import from Google Calendar or iOS Calendar?
Yes. In Shift Lab, tap Import from Calendar, grant access, pick the calendar and date range, deselect any non-shift events, and accept. Shift It reads the events once — it doesn't stay synced to your calendar app.
I don't have a file. I work a set rotation. What do I do?
Use Roster Wizard. Tell it your pattern (4-on-4-off, rolling nights, or custom), set a start date, and it generates months of shifts at once. No file needed.
My roster won't parse. What now?
Email the file to shiftit@greatworkeveryone.com and we'll either help you import it or add support for the format. Most unusual layouts are handled within a few days.
Pay Check & awards
How accurate is Pay Check?
Pay Check uses a deterministic engine — no AI touches your pay numbers. Every calculation is based on the award rules as they exist at the time, applied to your exact shift times. That said, award interpretation can vary and your specific classification or enterprise agreement may override defaults. Always compare the result to your payslip and consult your union if there's a dispute.
Which awards does Shift It support?
Currently: Victorian Doctors in Training (AMA Victoria), NT Doctors in Training, SA Doctors in Training (SMOEA), NSW Nurses and Midwives, VIC Nurses and Midwives 2024–28, NSW Paramedics, SCHADS, Fast Food Industry Award, Hospitality Industry (General) Award, Fitness Industry Award, and NHS Doctors in Training (UK). My award isn't listed. Can you add it?
Yes, happily. Go to the Support page and submit a request — we can typically turn new awards around in the next update.
How do I set my pay point and classification?
In Pay Check you'll find your Pay Profile, where you can pick your award and classification (e.g. Grade 2, Level 3, Year 2 RMO). If you're unsure, your contract letter or payslip header usually shows both. Getting this right matters — the wrong classification produces the wrong base rate.
Can Pay Check handle stacked penalties — like weekend plus public holiday?
Yes. The engine handles rates that change at specific clock times (6pm, midnight, 6am) and stacked penalties correctly — the right rate applies for each minute of the shift.
Does Pay Check include on-call and recall?
Yes, for awards that have those provisions (paramedics, junior doctors, SCHADS). You mark shifts as on-call in Calendar and log recall in Shift Report, and Pay Check picks them up.
Pay Check says I might have been underpaid. What do I do?
First, check that your classification, pay point, and pay period are set correctly – those are the most common source of discrepancies. If the numbers still don’t match, screenshot the Pay Check breakdown and compare it line-by-line to your payslip and your enterprise agreement. Then contact your union, your workplace delegate, or the Fair Work Ombudsman (AU), ACAS (UK) or local equivalent for assistance if you believe there’s been a genuine error.
Is Pay Check a legal determination of what I’m owed?
No. Pay Check is a tool, not a guarantee. Pay award and enterprise agreement rules can be interpreted differently, and your specific circumstances may vary. We make reasonable efforts to keep the rules accurate and up to date, but Great Work Everyone is not liable for inaccuracies. Always verify against your payslip and consult your union or a professional adviser if you’re unsure. Full details in our Terms of Use.
Plans & pricing
What does the free tier include?
The free tier includes the shift calendar, roster import, Roster Wizard, the Daylight feature, calendar export, and one Roster Buddy. Pay Check, Live Pay, timesheets, and unlimited Roster Buddies require Pro.
How much is Pro?
Pro is available monthly or annually. Annual is cheaper. Pricing is shown in your local currency in the App Store or Google Play at checkout. There's a 1 week trial period — if Pay Check doesn't work for your award out of the box, tell us and we'll try to fix it.
Can I cancel anytime?
Yes. Subscriptions are managed through Apple App Store or Google Play. Cancel in your device's account settings and you keep Pro access until the end of the paid period. We don't handle refunds directly — those go through Apple or Google.
Is there a team or organisation plan?
There's a Workforce tier for organisations that want to preload workplaces, run branded timesheets, or integrate with their rostering system. Contact us to discuss.
Roster Buddies
What is Roster Buddies?
Roster Buddies lets you see when your friends and colleagues are working. You add a buddy, they add you back, and both of you can see each other’s shifts on your own Calendar. You’ll also see “Buddies working today” on the Calendar day view.
How do I add a buddy?
You generate a Shift Pack – a .sftx file (an encrypted string containing your shifts). Send it to a friend via any channel: iMessage, WhatsApp, AirDrop, email, whatever works. They open the file in Shift It and your shifts appear on their Calendar. They send theirs back the same way. That’s it – no accounts, no server, no cloud. Step-by-step screenshots coming soon.
How does the data move between phones?
Entirely peer-to-peer. Shift Packs are .sftx files you send directly to each other. No data passes through our servers. The upcoming Cloud Sync update will add an optional always-on remote sync path – end-to-end encrypted so we still can’t read the contents.
Is Roster Buddies free?
Free users get one buddy. Pro unlocks unlimited buddies. Buddy list sync across your own devices (coming in the Cloud update) will be free for everyone.
Can my employer see my buddy list?
No. Shift It has no employer-facing features. Your buddy list, Shift Packs, and shared shifts are all on-device and visible only to you and the people you send them to.
Privacy & data
Where is my data stored?
On your device. Your roster, shifts, pay data, and settings never leave your phone unless you explicitly share them (e.g. with Roster Buddies) or trigger one of the exceptions disclosed below.
What are the exceptions to on-device storage?
Weather forecasts (your location goes to a forecast provider to get the weather for your next shift), commute time estimates (your work location is sent to a mapping provider to calculate travel time), push notification tokens (stored to deliver reminders you opt into), and AI roster extraction (if a roster file can’t be parsed on-device, the image is sent to an edge function, processed, and deleted immediately).
Does Shift It see my payslip?
No. You enter your payslip gross manually. That number stays on your device. Shift It never receives it.
Is there a user account?
No. There's no sign-up, no login, no account. The app works entirely with local data.
